JOB DESCRIPTION

Summary/Objective

The HR Operations Specialist is responsible for ownership of key HR operational tasks, to include payroll and benefits administration, employee onboarding, and employee engagement/recognition program design.

Payroll/Benefits Administration

  1. Ensure accurate and efficient processing of payroll.
  2. Maintain employee records and ensure compliance with all applicable laws and regulations
  3. Prepare quarterly, yearly, monthly and weekly reports for accounting and finance team .
  4. Respond to questions from employees, supervisors and managers regarding policies, benefits, salaries, and time and leave. 
  5. Process wage garnishments.
  6. Make adjustments in pay for raises, bonuses, severances and other off cycle payments.
  7. Manager Benefits, including timely enrollment/termination and auditing/approving monthly invoices.
  8. Lead yearly 401(k) audit.
  9. Plan and administer annual open enrollment period. This includes preparation or revision and distribution of materials, conducting meetings to communicate changes to employees, arranging for on-site presentation by providers and processing changes withing deadlines.
  10. Resolve discrepancies with carriers and payroll. 
  11. Coordinate with third party administrator to manager disability claims according to plan.
  12. Administer COBRA enrollments/changes and respond/manage unemployment claims.
  13. Develop and conduct payroll and benefits audits to identify gaps and implement corrective action.

Employee Onboarding

  1. Conduct the pre-onboarding of new hires, including sending background check and drug test, request credentials and equipment, send  Paylocity link and add new hire to payroll system, , complete E-Verify & I9 Form, and update org charts.
  2. Scan and file new hires’ onboarding paperwork. Maintain personnel files for all employees.
  3. Prepare off-boarding paperwork including draft termination letter and separation notice and terminate from systems following off boarding checklist.

Employee Engagement/Recognition Program Design

  1. Administration of Employee Engagement Surveys (annual, pulse, onboarding/exit surveys)
  2. Supporting data analysis and insights report preparation.

None

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and fax machines.

Position Type/Expected Hours of Work
This is a full-time position with regular office hours of 8:00 a.m. to 5:00 p.m., Monday through Friday. Hours may vary on occasion depending on work load.

Travel
Less than 10%

Required Qualifications

  1. 3+ years hands-on experience in an HR operational role.
  2. Proficient in all Microsoft Office applications
  3. Attention to detail, analytical thought process skills and ability to multi-task.
  4. Knowledge of payroll, garnishments and benefits distribution

Preferred Qualifications

  1. Proficient in Paylocity
  2. Proficient in SuccessFactors
